Golf Sudbury

How Golf Sudbury used Noteefy to build the paper trail that made credit card no-show charges stick, put $130,000 back on the books in their first season, and found a platform that kept surprising them.

The Club

Golf Sudbury operates five public golf courses in Sudbury, Ontario: Timberwolf Golf Club, Cedar Green Golf Club, Monta Vista Golf Club, Pine Grove Golf Club, and Stonehill Golf Club. With five properties in a northern Canadian mining town where demand consistently outpaces inventory and the season runs May through October, there is no room for revenue to walk out the door.

The Challenge: The No-Show Problem Has a Legal Dimension Most Operators Ignore

Golf Sudbury has a plan to close the 7,000 round gap between booked and played that was straightforward: require a credit card for all bookings and charge no-shows. Most operators who have tried this know it works, until the dispute arrives.

When a golfer calls their credit card provider and says they never authorized a charge, the provider will often side with the golfer unless the operator can produce documented proof of authorization. Without a confirmation step in the booking process, operators are exposed every time they try to collect.

The Solution: They Signed Up for Noteefy Confirm, The Rest Was a Bonus

Golf Sudbury went live with Noteefy across all five courses at the start of the 2025 season with Waitlist and Confirm. The Noteefy team handled the Lightspeed integration. In Tom's words: flawless. When our AI Pro Shop Assistant launched, Golf Sudbury adopted its use immediately without any additional charge.

The Results: The First Full Season Across Five Courses

Northern Canada had a difficult spring in 2025. Late opening, cold weather, frost delays into June. Revenue at Golf Sudbury was still up year-over-year. In total, over $130,000 revenue has been recaptured including fees from over 2,300 rounds while also reduing Pro Shop call volume.

"No shows and short shows were my primary focus when choosing Noteefy. I wanted to take credit cards for all bookings, but I wanted a way to remind people of their tee times to give them a chance to modify or cancel. Having them confirm gives us proof they did authorize the purchase."
